With the ICS format, you can import, export, share or publish appointments and events in digital calendars. With its worldwide usage, it is supported by almost all popular apps like Microsoft Outlook, Google Calendar, Apple Calendar, as well as iOS and Android devices.
What is an ICS file?
An ICS file contains the structured data of one or more appointments in a digital calendar. The standard iCalendar file format is recognized by the extension .ics. Typical information includes:
- THE title or subject of the appointment
- THE place of the event (address, conference room, online meeting link)
- L’start and end time including date and time zone
- There description with additional details
- There list of participants with the invited people
- THE reminders or notifications
- THE repetition rules (e.g. “every Monday at 10 a.m.”)
- THE status information (confirmed, provisional, canceled)
For example, you receive an invitation to a professional meeting in your Gmail box. An ICS file is attached, containing all relevant details. By opening this file on your smartphone or PC, you can directly import and synchronize the appointment in your calendar, whether you are using Outlook, Google Calendar Or Apple Calendar.
What programs can open ICS files?
Thanks to the international standard, ICS files can be used on almost all platforms. They are particularly common:
- Microsoft Outlook (Windows, Mac, web version via Microsoft 365)
- Google Calendar (Web and mobile app on Android/iOS)
- Apple Calendar (macOS and iOS/iPadOS)
- Specialized converters to transform content into other formats

- Damaged or incomplete file : Ask the sender to resend the ICS file or export the event again from the original calendar
- Wrong file format: check the extension, the file could for example be saved as .vcs instead of .ics. With online converters or the export functions of Outlook, Google Calendar or Apple Calendar, you can easily adjust the format
- Duplicate events: If you are importing multiple times, select the “Add new events only” option. Some calendars automatically detect duplicates
- Time zone issues: Check calendar and device time zone settings to avoid scheduling events at the wrong time. ICS files often contain UTC indications that must be automatically converted locally.
- Unable to import on mobile devices: make sure the ICS file is opened with a compatible application (Google Calendar, Apple Calendar). Otherwise, import it to PC first then sync with smartphone
